1. Controller
[LEGAL ENTITY NAME] is the controller of personal information processed through the Platform. Contact privacy@voteforcause.com with any privacy question or request.
Organizers are independent controllers of the personal information they collect about their contestants and, where applicable, their voters.
2. Information we collect
Account information: name, email address, password hash or federated identity, profile details and role.
Voting information: the competition and contestant voted for, timestamp, vote type, and for guest voting the name, email address and phone number provided.
Payment information: transaction amount, currency, fee breakdown, discount used, and processor identifiers. Full card details are handled by our payment partner and are never stored by us.
Organizer information: organization details, application answers, verification status and payout account identifiers.
Technical information: IP address, device and browser characteristics, pages viewed and actions taken, used for security, fraud prevention and analytics.
Support information: messages you send us.
3. Why we process it
To operate accounts and competitions; to record and validate votes; to process payments, refunds and payouts; to prevent fraud and abuse; to publish results; to provide support; to meet legal, tax and accounting obligations; and to improve the Platform.
Where a legal basis is required, we rely on performance of a contract, our legitimate interests in operating a secure platform, compliance with legal obligations, and consent where consent is requested.
4. What is public
Competition pages, contestant details published by organizers, vote totals and final results are public. Voter identities are not published; aggregate counts are.
Contestant contact details collected during import are stored privately and are not shown on public pages.
5. Sharing
We share personal information with: our payment partner for payment processing, payouts, verification and dispute handling; our hosting, database, email and analytics providers acting on our instructions; organizers, in respect of their own competition (including aggregate voting data and, where relevant to a dispute, transaction records); and authorities or advisers where legally required.
We do not sell personal information.
6. Retention
Account and vote records are retained while the account is active and afterwards for the period necessary to resolve disputes, meet financial record-keeping obligations and defend claims. Financial ledger entries are retained as an immutable audit record.
7. Your rights
Depending on your location you may have rights to access, correct, delete, restrict or object to processing, to portability, and to withdraw consent. Submit requests to privacy@voteforcause.com; we may need to verify your identity.
Deletion requests do not extend to records we must retain for financial, fraud-prevention or legal reasons, or to published aggregate results.
8. International transfers
Personal information may be processed in countries other than your own. Where required, we use appropriate safeguards such as standard contractual clauses. [TRANSFER MECHANISM — FOR COUNSEL]
9. Security
We use row-level database access controls, encrypted transport, restricted administrative access, multi-factor authentication for privileged roles, and audit logging. No system is perfectly secure; see the Security Overview for detail and for how to report an issue.
10. Children
The Platform is not directed to children. We do not knowingly collect personal information from children below the age specified by applicable law. Where a competition features minors as contestants, the organizer is responsible for obtaining guardian consent.
